Sharing files with other users from MyFiles


How to Share Files with Other Users

  1. Hover over the file you want to share

  2. Click on the green ‘i’ button

  3. Click the ‘Share’ button

  4. The share menu will open, offering several options for sharing




  • Access status : You can set the file to be private (requires a J2e login to access), password protected (open to those without a J2e login, but requiring a password to access) or publish (can be accessed without a J2e login)
  • File setting: You can set the file to be a worksheet (each user will receive a copy of the file to be used as an individual file) a collaborative document (users will have access to the file, and all users will edit the same document, with all changes saved centrally) or as view only (users will be able to read the document, but will not be able to edit the document)
  • Share with: You can assign sharing permissions for the whole school, your own class, other classes in school, or individual users. You can share the file with multiple groups
  • Alternative sharing options: Files can be shared via link (simply copy and paste the link e.g into an email), embed, thumbnail or share directly into an email. Please note: if sharing with people outside of your organisation, be sure to make the file public by setting the access status to 'publish' (see above)



Sharing Files with Your Class or Pupils

  1. Follow the steps to open the Share menu (hover over the file, click the green ‘i’ button, then click Share)

  2. In the ‘Share with’ area, type the name of a user or class

  3. Alternatively, use the drop-down menu to select from your class list or saved groups

  4. Choose whether users can view only or edit the file

  5. Click Save or Confirm to complete the sharing process



Accessing Shared Files

  1. Shared files can be accessed by clicking the Shared Files tile on the J2launchpad

  2. Alternatively, open MyFiles and select the Shared with me tab from the left-hand menu


Removing Access Permissions from a Shared File

  1. Hover over the file and click the green ‘i’ button

  2. Click the Share button to open the share menu

  3. Locate the user or class you want to remove access from

  4. Click the ‘x’ next to their name to remove their access
