MyFiles is designed as an online portfolio and storage area for digital work.


However, if you want to save or use files elsewhere (like display boards or pupil workbooks), you have several options:


Downloading Files

  1. Navigate to the file you want to download in MyFiles or Pupil Files

  2. Hover over the file and click the green ‘i’ icon to open the options menu

  3. Click on the Download option

Note:

Some file formats (e.g. j2create files) don’t support direct downloading. For those, use the PDF export method described below




Generating a QR Code

Creating a QR code allows you to share a link to a file without downloading it. When scanned using a mobile device (such as a tablet or webcam), the QR code will open the file directly.

To generate a QR code:

  1. Hover over the file and click the green ‘i’ button

  2. Select ‘QR code’ from the options

  3. A QR code will be created

  4. You can:

    • Save it to MyFiles, or

    • Download it to an external storage area

To allow access without a J2e login:

  1. Tick the ‘publish’ checkbox

  2. This will make the individual file publicly accessible via the QR code

  3. It does not give access to your full MyFiles or Pupil Files areas



Important
  • Think carefully before ticking ‘publish’, especially if the file includes sensitive content like pupil photos
  • If in doubt, leave the file unpublished so it’s only accessible to J2e users within your school




Exporting a File as a PDF

You can save a J2e file externally by exporting it as a PDF. This is useful for printing, archiving, or sharing outside the J2e environment.

To export as a PDF:

  1. Open the file you wish to save

  2. Click the ‘Print’ button (usually found in the toolbar)

  3. When the print dialog box appears, choose ‘Save as PDF’ from the printer options

    • You may also have the option to save directly to cloud storage (e.g. Google Drive), depending on your setup

  4. Click ‘Save’

  5. Choose your desired save location

  6. Click ‘Save’ again to complete the process
